1. Our commitment
EDU Archives Tutors is committed to providing a safe working environment for all employees, candidates, clients and visitors. We take our responsibilities under the Health and Safety at Work Act 1974, the Management of Health and Safety at Work Regulations 1999, and related legislation seriously — and treat health and safety as a foundation of how we work, not as a tick-box.
2. Responsibilities
The Director of Operations holds overall responsibility for health and safety at EDU Archives Tutors. Day-to-day operational responsibility is delegated to named role-holders for: office safety, placement risk assessment, lone-working oversight, fire safety, and incident reporting.
Every employee and candidate has a duty under section 7 of the Health and Safety at Work Act to take reasonable care for their own safety and the safety of others, cooperate with safety procedures, and report risks or incidents promptly.
3. Risk assessment
We carry out and review risk assessments for:
- Our office and shared spaces
- Lone-working scenarios — home tuition, residential placements, alternative provision (see Lone Working Policy)
- Specific learner profiles where higher risk is known — high behavioural needs, medical conditions, PMLD
- Travel and transport for off-site activity
- Display screen equipment (DSE) for office and home-working staff
- First aid and emergency response
- Work-related stress and mental health
4. Training
All staff complete general health and safety induction. Specific roles complete additional training appropriate to their work — including first aid at work, fire warden, mental health first aid (selected staff), and lone-working procedures. Early years candidates hold current Emergency Paediatric First Aid certification as a condition of placement.
5. Reporting incidents
All accidents, near-misses and dangerous occurrences must be reported to EDU Archives Tutors the same day. Reports are logged in our incident register and reviewed monthly. Reportable injuries, occupational diseases and dangerous occurrences under the Reporting of Injuries, Diseases and Dangerous Occurrences Regulations 2013 (RIDDOR) are reported to the Health and Safety Executive within statutory timelines.
6. Fire safety
Our office has fire risk assessments, working detection and alarms, posted escape routes, and trained fire wardens. Evacuation drills run twice yearly. Candidates working at client premises follow the host setting's fire procedures.
7. Wellbeing and mental health
We recognise that mental health is an integral part of overall safety. We support staff and candidates through: open access to a named mental-health first-aider, manager training, flexible working arrangements where reasonable, and an Employee Assistance Programme. Stress-related concerns are taken seriously and treated under the same framework as other safety risks.
8. Insurance
EDU Archives Tutors holds Employer's Liability Insurance (as required by the Employers' Liability (Compulsory Insurance) Act 1969) and Public Liability Insurance covering our office and placement activity. Insurance certificates are available on request.
9. Review
Reviewed annually and after any RIDDOR-reportable incident or significant change in working arrangements.
