EDU Archives Tutors is the data controller for personal data collected through this website (eduarchivestutor.com), our enquiry forms, our tutoring service and our recruitment service. This Privacy Policy covers visitors to our website, parents and learners using our tutoring services, candidates registered with us, schools and other organisations who use our staffing services, and members of the public who contact us.
2. What we collect
Depending on how you interact with us, we may collect:
- Contact details — name, email, phone number, postcode/area
- Family details — parent and student names, year groups, schools, exam boards (for tutoring enquiries)
- Professional details — CV, qualifications, references, DBS, right-to-work documents (for candidates)
- Special category data where you choose to share it — for example, your child's SEND profile or your own equal-opportunities monitoring data
- Communication records — emails, phone notes, WhatsApp / form messages
- Service records — placement history, lesson notes, progress reports
- Financial information — for invoicing schools and paying candidates (we do not handle card data — payment processors do)
- Website analytics — basic visit data (see Cookie Policy)
3. How we use your data
We use your personal data only for purposes you would reasonably expect, on the lawful bases set out in our Data Protection and Processing Policy. Specifically:
- To answer your enquiry and provide the service you've asked for
- To match candidates to schools and tutors to families
- To carry out safer-recruitment checks required by KCSiE 2024
- To process payments and meet our tax and accounting obligations
- To send you transactional communications (e.g. confirmation, scheduling, invoicing)
- To improve our service through anonymised analytics
- To send you marketing communications only where you have given explicit consent — and you can withdraw consent at any time
5. We never sell your data
We do not sell personal data. We do not share your CV with anyone outside our placement process without your explicit consent. We do not pass parent or learner details to advertisers or third-party marketers.
7. Your rights
Under UK GDPR you have rights including: access to your data, correction of inaccurate data, deletion in certain circumstances, restriction of processing, data portability, and objection to processing based on legitimate interests or direct marketing. To exercise any right, email info@eduarchivestutor.com with DATA REQUEST in the subject. We respond within one calendar month.
8. Retention
We hold candidate records for 6 years after the end of engagement (employment law), tutoring records for 6 years (complaint handling), safeguarding records until the subject reaches 25 (KCSiE), and financial records for 6 years (tax law). 9. Security
We use access-controlled systems, encrypted storage, multi-factor authentication for administrative access, secure office and document destruction, and regular staff training. We have a documented data-breach response procedure and report breaches to the ICO within statutory timelines where required.
10. Complaints
If you're unhappy with how we have handled your data, please contact us first at info@eduarchivestutor.com so we can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or 0303 123 1113.
11. Changes to this policy
We may update this Privacy Policy from time to time. The current version and its review date are always shown at the top of this page. Material changes will be notified to active users by email where appropriate.
